Once you have created a project, you are ready to start adding Actions. You can add an Action manually by clicking on the black “+ Add Action” at the top right.
Actions are how each of your Projects is broken down into manageable action items. You can import many actions at once using the “Import Project File” tool at the top of the page, or you can add actions individually.
Minimally Required Fields
- Action Name: a short name for that action
- Start Date: the estimated Start Date for that action
- Due Date: the estimated Due or Finish Date for that action
- (Unique ID): when you create an action manually in Crews by Core Pro, the system will automatically assign a Unique ID to the action. You can use this Unique ID for Searching. This field can not be edited.
Additional Action Fields
You may want to add some additional details to the action so that the assigned workers have more information about the action they will be working on.
- Location: allows you to specify exactly where on the job site this action will be. For example: 5th Floor, Lobby, Tower 1, Roof
- Subcontractor: allows you to create or select from a list of Subcontractor groups who will be working on your project. This allows you to easily filter Actions which are being assigned / handled by specific Subcontractors.
- Completion:
- Completion Unit (drop-down): if you want to track the action completion, you can choose the unit of measurement for the completion. The most common is using Percent (%) completion. Additional units for tracking completion are:
- LF: Linear Feet
- SF: Square Feet
- CY: Cubic Yard
- EA: a unit / “each”
- Completion Target: you can specify what the target for completion is.
- %: For example, when your unit of measurement is %, the Completion Target will automatically be set to 100% as the target.
- For all the other completion units (eg LF, SF, CY, EA), you can enter the target; for example, if an action requires 200 LF of cabling to be installed, then you would select “LF” for the unit and enter 200 in the Completion Target field.
- Action Type: this field is a “use-it-how-you-wish” field and allows you to add a custom tag to the action. An action may only have one Action Type tag.
- Simply start typing and you’ll see the option to “Create <your type>”. Click on it to add that tag. Once you create a Action Type, that value is available to you as a drop-down in C4 so you can tag other Actions with that same Action Type.
- For example, if you need to track and assign actions that are not related to the actual construction actions, you might have a custom tag called “Pre-construction”. In the Action Type field and in the Action List column, you’ll see your custom tag “Pre-construction” and you are able to use the Filters to only show actions tagged with this value.
- Description: this field is used when you want to include additional detailed instructions about the action. This allows you to communicate to the worker precise requirements for completing the action. You can include URLs or web links to design drawings or other project documents that are available via web browser. The URL will be clickable.
If you need to further break down your project into manageable action items, each Action can be broken down into activities. These will appear in your Action list with bullet-point style icons and appended Unique IDs so you can keep track of your project in a way that is easy to manage.
Need to know what’s happened in the action? The History panel in the bottom right will show you the different Action Statuses that were updated by the worker and when the action was updated.
Bulk Creation of Actions
To create multiple Actions at the same time, click on the “New Action” button in the upper right hand corner. This gives you the option to “Create Action” or “Bulk Create.” Select the “Bulk Create” button.
Fill in as many Actions as needed using the minimally required fields. When you are finished, click the “Save Info” button in the upper right corner.
Your new bulk created Actions will appear in the Gantt view, List view, and Lookahead view in chronological order based on their start and end dates.
Assigning Actions to Workers
Once your Action has been created, you can assign workers to the Action. You can assign invited workers even if they have not yet created their account. Their assigned Actions will be ready for them to view as soon as they log in.
Assign workers in the Project page by clicking on the three dot button next to the Action you want to assign. Clicking on the three dot button will open the Action dropdown menu. Click the “Add Assignees” button to open the Assignees menu and search for workers.
The Assignees menu allows you to search for workers by name, trade, or organization. Once you find the worker you want to assign, click on the empty circle next to their name. This will assign the worker to the Action. The circle will turn into a green check mark to indicate that they have been selected.
You can also click on the Assignees icon to open the Assignees menu. Follow the same steps as above to assign a worker.
Assigned Actions will appear in the Crews by Core app for only those workers who have been assigned. Admin users can view all Actions in Crews by Core Pro. If a Crews by Core Pro Admin user wants to view that same Action in the app, they will need to be Assigned.
If a worker does not have the app, you can also share an Action with them by using the three dot drop down menu. Click on the “Share” button. This will create a unique url for your Action. Copy the link and share it with your worker using text or email. When you are done sharing, click the “Done” button.

Pair Crews by Core Pro with the Crews by Core app to get live updates from your workers in the field. Your crew can view their assigned actions for the day and update those actions as they are completed. Get real-time pictures, chats, and updates as they happen!
Action History
The Action History feature will save a record of each time your Actions are edited or updated. This shows you when and who updated the Action.
To view Action History, click on your Action and view the Action Info menu. Your Action History is displayed in the lower right hand corner. It will show the Action Status, the date it was updated, and the crew member that made the update.
